Position Title:      Administrative Assistant

Reports to:           Health Director

Department:        Tsuut’ina Health and Wellness Centre

JOB SUMMARY:

 

The Administrative Assistant (AA) provides general administrative support to the Health Director and program coordinators. The AA will work in a professionally and culturally appropriate manner that is consistent with the Tsuut’ina Health Services mandates and programs. The Administrative Assistant works under the direction of the Health Director in a

 

DUTIES & RESPONSIBILITIES:

 

Organizes and schedules meetings and appointments
Knowledge of the Tsuut’ina Nation Policies and Procedures as well as any internal health policies.
Develops and maintains a filing system
Assists the Health Director in supervision of administrative staff
Coordinate office procedures, deliver/pickup mail, cheques etc.
Responsible for staff meetings and coordinate the agenda with staff.
Initiate cheque requisitions, purchase orders and coding budgets and maintains inventory of supplies.
Carry out administrative duties such as filing, processing invoices, time cards, payroll etc in coordination administrative staff.
Maintain and update an orientation package for new employees
Maintain employee personnel files.
Works with employees in training and professional development as required.
Ensures that all employee files are up to date with all necessary documents.
Provide backup for receptionists.
Other duties as directed by Health Director
 

 

 

QUALIFICATIONS, KNOWLEDGE AND SKILLS:

 

Minimum Grade 12 with Post Secondary training in related field
Minimum of 2 years’ experience in relevant administrative position
Knowledge of Human Resource administration
Knowledge and understanding of financial procedures
Strong communications skills including written and verbal presentations
Understanding of First Nations employment environment
Ability to work flexible hours as required
Must be proficient in use of Word Processing, Excel, Power Point, Database, Spreadsheet and Xyntax applications
Must have supervisory skills
Must be able to handle pressure and react positively to stressful situations
Must possess exemplary interpersonal skills and positive attitude
Must be able to work with minimum supervision
Ability to work with and communicate effectively within a team environment
Security clearance is required including Vulnerable Sector Check Screening
Must have a driver’s license and reliable transportation.

Salary: Commensurate with Education and Experience
