Tsuut’ina Nation-Department: Land and Environment Research Department (L.E.R.D.)
Reports to: L.E.R.D. Director
The Executive Assistant performs a variety of administrative and clerical
functions both independently and in a team environment for the LERD department. To provide
confidential administrative, secretarial and office management support, often in an independent
DUTIES AND RESPONSIBILITIES:
a. Serves as Executive Assistant to the Tsuut’ina Nation Land Board and the Director of the
Lands and Environment Research Department.
b. Coordinates meetings. Prepares agenda in advance, arrange meeting facilities and notifies
appropriate parties verbally of meeting.
c. Assists with organizing meetings and/or special events, such as arranging catering, locations,
distribution of information with respect to the event and any gifts or handouts for the event.
d. Prepare and key in payables using Tsuut’ina Xyntax Financial system.
e. Prepare and process LERD employee payroll.
f. Reads and analyzes incoming memos, submissions and reports to determine their
significance and plan their distribution.
g. Maintain administrative files for correspondence, payables and payroll/employee files.
h. Photocopy, scan, classify, code, log and store documents for distribution.
i. Maintain office supplies, service office equipment and arrange for servicing in the case of
j. Secure information by completing data base backups.
k. Generates invoices, reports, memos, emails, financial Statements and other documents when
appropriate using word processing, spreadsheet, database or presentation software.
l. Produces information by transcribing, formatting, inputting, editing, retrieving, copying and
transmitting text, data and graphics.
m. Produce minutes of meetings when directed.
n. Respond to telephone, in person or electronic inquiries or forward to appropriate person.
o. Communicates orally and in writing to Chief and Council, Boards/Committees, managers,
technicians, lawyers, staff, board members and to related individuals as well as forwarding
documents and correspondence.
p. Must attend Tsuut’ina Nation Chief and Council Meetings as directed, Land Board Meetings,
as well as any other meetings as directed by the LERD Director.
q. Contributes to team effort by accomplishing related results as needed.
QUALIFICATIONS AND SKILLS REQUIREMENTS:
• Must be able to work under minimum supervision.
• Ability to work independently and in team environment.
• Be reliable, respectful, honest, and willing to learn.
• High degree of proficiency in office computer applications such as work processing, publishing,
presentation applications, Xyntax, email, Zoom and other information management tools.
• Multi task and able to work in stressful situations to meet deadlines.
• Strong time management, prioritization, multitasking and organizational skills
• Must be a team player both with Chief and Council, Senior Management, the Legislative
Procedures Technical Services Department, and the public.
• Strong conflict management skill.
• Knowledge about Treaty No 7, Treaty Relations with Canada, Jurisdictional Authority of
• Must have some knowledge of Tsuut’ina Nation legislative process, culture, language and
a) High school diploma or equivalent;; relevant post-secondary education preferred.
b) At least two years of office experience in administration.
c) Proficient in MS Office.
d) Must have a valid Alberta Driver’s License and must have own reliable transportation.
e) Must be willing to sign an Oath of Confidentiality and must be able to pass a security
f) Must be willing to Travel and must hold a current valid credit card for travel purpose.
