Administrative Support – Executive Assistant/ Office Support

ASW3 – Wage Grid 22 (based on hourly pay)

 

Department: Tsuut’ina Child & Family Services Society

Reports to:     Director & Associate Director

Scope:

The Executive Assistant Admin Support completes main office administrative duties and direct support to the Director and Associate Director. The EA completes record management and filing of Agency information, Board of Directors support as requested, arranges for meetings, travel, and training for Agency staff and oversees office requirements such as building and Information Technology supports. EA Admin Support oversees office needs and arranges for maintenance as required.

Duties and Responsibilities:

·         Filing and creation of files as required or requested by Director, Board of Directors and/or Agency staff

·         In accordance to Records Management standards: Tsuut’ina Nation Admin, Alberta CYFEA, ISC and TNCFSS, assist in records management upon request

·         Assist in Records management archiving and organization of records management file room, when needed

·         Data entry as per Agency requirements and as requested

·         Information tracking and logging of all Agency administration matters

·         Providing overall administrative support to the TNCFSS Team

·         Ordering and inventory,  maintenance of supplies and office equipment

·         Arrange travel for Director and/or Agency staff as directed

·         Arrange and attend meetings and training venues as directed for Agency staff

·         Point contact person in Information Technology support and arrangement of support needed/required

·         Overall Admin support to Director as required and/or assigned

·         Other duties as assigned by the Casework Supervisor, or Director

Qualifications Requirements

·         High School Diploma and one year related experience

·         Office Administration Certificate or Diploma

·         Excellent communication skills

·         Advanced computer skills

o   Microsoft Word, Microsoft Outlook, Excel, Adobe

Additional Requirements:

·         Criminal Record Check/vulnerable sector check

·         Child Intervention Record

·         Valid Alberta Driver’s License, proof of insurance and registration.
