JOB DESCRIPTION

The Food Bank Executive Assistant assists the Food Bank Manager on a day-to-day basis. They will work to fulfill the mission and guiding principles of the Tsuut’ina Food Bank Program.  The Food Bank Executive Assistant will also assist unpaid (Volunteer) program staff and ensure that the warehouse is organized and a safe work environment. The Executive Assistant is familiar with and practices the principals of family support in all interactions on behalf of the organization. The Executive Assistant would include but not limited to answering phones, filing, scheduling appointments, scanning records and coordinating authorizations and referrals.

DUTIES AND RESPONSIBILITES:

·        Must follow the Tsuut’ina Nation Human Resource Policies and Procedures Manual

·        Assist Food Bank Manager in all Food Bank operations

·        Greets all clients and ensures that they are treated with dignity, respect and without judgement

·        Serves all clients in an effective and courteous manner

·        Responsible for answering Food Bank phone lines and administrative duties as assigned

·        Handles all incoming inquiries or deliveries and responds to all general inquiries

·        Places food orders with established vendors or donators

·        Sorts, coordinates and records all incoming donations as per established sorting and distribution guidelines

·        Distribute and prepare holiday food donations provided by various stakeholders

·        Coordinates scheduling of hamper pick up/deliveries as assigned

·        Ensure hampers meet or exceed Canada’s Food Guide

·        Work in collaboration with the Tsuut’ina Nation Health Centre’s Health Promoter and Dietician

·        Engages and collaborates with volunteers or other workers to ensure that assigned tasks are performed

·        Works in a safe manner and according to established guidelines and procedures

·        Responsible for setting up booths and accepting donations at various events

·        Ensures all Food Bank related equipment is clean and in proper working order, arranging repairs or replacement as necessary

·        Ensures all public and work areas are neat and clean at all times

·        Must participate in all professional development activities and training determined by the Food Bank Manager

·        Perform other duties as requested by the Food Bank Manager

 

QUALIFICATIONS:

·        Minimum Grade 12  High School Diploma

·        Food Safety Certificate is required

·        Office Administrative Program Certificate or Office experience is an asset

·        Experience in food service setting

·        Demonstrated enthusiasm in working with diverse people

·        Xyntax training and knowledge (If possible but not a requirement)

·        Labour Intensive, must be physically fit (move and unload heavy boxes, large crates and etc. 50 lbs and over)

·        Ability to work in a team-based environment

·        Capacity to multitask, prioritize responsibilities and meet deadlines in a fast-paced environment; must be comfortable taking initiative and working with minimal supervision

·        Ability to exercise discretion and confidentiality at all times

·        Flexibility to work variable hours as required

·        Strong problem-solving, organizational, interpersonal and communication skills

·        The successful candidate must complete a criminal record check

·        A valid Alberta driver’s license and reliable transportation is required

·        Must be prepared to abide by Tsuut’ina HR policy including drug testing.
