Title: Records Management File Clerk

Department: Child & Family Services

Reports to: Director of Child & Family Services

Job Summary:

Administrative Support completes general office administrative duties and directs public inquiries to proper agency staff as well as possessing sound knowledge of the importance of records management and the protection/security of all information and information systems. Administrative Support – Records Management File Clerk oversees records management for: Child Intervention, Family Enhancement, Foster and Kinship Care, Supports for Permanency, Financial transactions and Agency Human Resources.


Duties & Responsibilities:

  • As part of the Admin Support team, from time to time, Reception duties – greeting and directing public inquiries and appointments.
  • Filing and creation of files as required or needed in accordance to Records Management standards: Tsuut’ina Nation Admin, Alberta CYFEA, ISC and TNCFSS.
  • Management of high-volume documentation and the protection/security of all information and information systems
  • Records management archiving and organization of records management file room
  • Data entry as per Agency requirements
  • Information tracking and logging
  • Providing overall administrative support to the TNCFSS Team
  • Attend staff meetings/Monday morning check-ins with staff
  • Photocopy, archive, fax, and shred documents
  • Complete preparation of Financial documents for processing if required
  • Maintain familiarity of all Agency and Nation policies and procedures to ensure compliance
  • Encourage effective teamwork
  • Information Technology support and arrangement of support needed/required
  • Assist with orientation of new staff
  • Cover off staff on office procedures when needed
  • Admin support to Associate Director and Director as required and/or assigned
  • Other duties as assigned by the Casework Supervisor, Associate Director or Director


Qualification Requirements:

  • High School Diploma and one year related experience
  • Office Administration Certificate or Diploma

**it is necessary that administrative staff have ongoing cross-training to have an ongoing working knowledge of all programs in Child and Family Services delivered in the region, thus enabling staff to assist and cover off within and to other CFS and DFNA offices**
